Music Boosters Board Meeting Minutes

Next meeting scheduled for December 13, 2005 at 6:30 p.m. Please note that all members are to attend at the 6:30 time -- there will no longer be a separate board and parent meeting.

Minutes from Nov. 8, 2005 accepted
Financials:
Profit from Cookie Dough sales about $782 so far; expected amount for this fund-raiser in budget was $1,500. Deficit of $2,900 as presented in 05/06 budget remains about the same.
Susan Strong did go to Union Bank to close old account with about $140 in it. Bank will mail check upon verification of appropriate recipient.
David Ivey noted reduced fees he received from Penske for rental of truck for Field Shows. He will prepare anticipated budget for the next school year for this expense.
Linda Walker will prepare an anticipated budget for food for next school year. An estimated number of students would help. It takes about seven hours to purchase and prepare individual lunch bags per field show.
Two bills included in the budget were presented: $787 for music and $356 for a cart. Budgeted items do not require additional approval.
Current financials accepted as presented.
Music Boosters for Next Year:
With several of the active music booster parents having senior students, it was noted that it would be necessary to begin to pull in new volunteers after the holidays.
Fund Raising:
Discussion about Thursday's Holiday Concert resulted in the implementation of several suggestions. For the bake sale, instead of charging per item, a donation box will be made available. Pia will make sandwiches to offer along with the sweets and drinks.
[Results: The sandwiches went very quickly and the donation box was filled with over $100; both of these suggestions should be continued due to their outstanding success. (Thanks to the color guard for their help at the door. It was greatly appreciated! The concert was magical!)
Baskin Robbins also provided a 20% donation for proceeds made from customers mentioning the boosters on Thursday, 12/15, from 5:00 p.m. to closing. This resulted in about $100 including $21 from Kathy and Rose.]
A fund-raising event at Rubio's is still a possibility. Mr. Lilley is researching dates in January.
Jack-in-the-Box is still a possibility. Mr. Marcus from Standley Middle School is willing to share the responsibility of locating volunteers to taste test burgers in order to share in the $4K donation if all slots are filled. The contact is Jane Myers at JXB. Sheri Zinser has spoken with her. The requirements are 150 people able to go to the JXB in Kearny Mesa during the workweek at tbd dates and times. Volunteers are to be between 18 and 57, have no allergies, are willing to taste anything as provided, and can make use of a computer keyboard. Expected window to be in June. The idea is to be presented to the Boosters through e-mail, and if enough enthusiasm is received, we will proceed with the idea.
Upcoming Concerts and Events:
The 12/15/05 concert will be at 7:00 and will be professionally taped non-gratis by Mr. Zinser. The Spring Concert will be late March or early April, and will also be recorded. CD's can then be produced and sold for about $15 each.
Uniforms:
Mr. Smith has given approval for Stanbury Uniform Co. to work a mock-up uniform. Mr. Cummins had pictures and explained the anticipated style. It will be adaptable to several different looks including a reversible front placket that will either be plain black, or white with a blue slash and the Centurion head.
Anticipated cost is to be $45,000 for 100 uniforms-a very good price. They will be made of 15 gauge DAC wool (same material as the current uniforms.) We currently have $15K in funding from the UCHS ASB, and Mr. Smith is to ask for a loan from the school board for the rest in anticipation of the commencement of a program being organized by VAPA to begin a rotating uniform fund. UCHS is to be one of the first schools funded since ours are the oldest and in the worst shape off all district schools. No orders will be placed until all details are nailed down, but it is anticipated that fittings will start in March 2006, and the uniforms will be available for use for the 06/07 school year
EdUCate
Per Sheri Zinser, EdUCate is accepting grant proposals at this time with awards to be presented in April. Per Mr. Cummins, no mention of this has been made to the faculty. He will make an inquiry.
Fair Share Letters for Orchestra:
Fair share letters for Orchestra members are to be sent in January ($90 is suggested amount) as well as gentle reminder letters to Band parents who have so far been unable to contribute.
Year-End Banquet:
Linda Walker is willing to start researching sites including Tomm Hamm's which has been our traditional host. We need to have the selection of a date on our January Agenda and the site booked by February.
