Music Boosters Board Meeting Minutes
Submitted by Jan Frost, Secretary
Next meeting scheduled for December 13, 2005 at 6:00 to be followed by mandatory parent meeting at 7:00.
In Attendance:
Christoph Weber, Pia Weber, David Ivey, Susan Strong, Kathleen Hill, Linda Walker, Cheri Zinser, Gay Olivier-Lilley, Mike Cummins, Karin Walin, Jan Frost
Minutes from October 11, 2005 as prepared by Kathy Hill accepted
Financials:
Susan Strong presented UCHSMB Financial Report for 10/12/05 - 11/08/05. The Ending Balance is $5,292.40 with outstanding receipts for bus rental of $900 so the actual ending balance is $4,392.40. Please see financial report for full details.
Budget for school year 2005 - 2006 presented by Susan Strong. Projected Expenses expected to be $17,655.04; Projected Income expected to be $14,747.50. Deficit of $2,900 can be overcome by additional fund raising and other unexpected sources of income, as well as frugal spending. Motion made by David Ivey to accept the budget as presented, seconded by Susan Strong, passed unanimously. See Budget 2005-2006 report for details. Note that items itemized in the budget do not require additional voting to be funded.
Orchestra students to receive letter for parents being drafted by Christoph requesting Fair Share Donations of $90 to cover events attended by both orchestra and band. Letter to be distributed after Winter Break. A letter to band students' parents who have not yet participated in the Fair Share Donation of $250 will also be distributed after break to gently encourage participation, as well as participation in fund raising activities.
Union Bank Account with balance of about $140 to be closed by Susan Strong as time permits.
UCHS Boosters:
Cheri Zinser is the liaison with the UCHS Boosters Club. She recently attended a meeting and reports that their focus will be primarily on publicity and encouraging school spirit. Ideas included selling a screened sweatshirt each year with a design that is determined through a yearly contest, and selling UCHS calendars. Team and club coaches/directors need to present to the Boosters request for funding, and it is suggested that fund raising events be coordinated among these groups.
Boosters will coordinate the selling of tickets for the Buick Invitational Golf Tournament. Music Boosters can participate and all tickets sold are pure profit. Our e-mail network would be a good source of publicity for this sale.
Fund Raising Suggestions:
Jack in the Box gives $4K donation to organization that can supply 120 adults to taste test burgers. Cheri to contact Jack in the Box to determine next slot available, and Gay to contact Mr. Marcus at Standley Middle School to see if we could share this event with his folks and split the donation.
Kevin Lilley working with Rubio's to coordinate a day where a donation will be made to the Music Boosters for every coupon that is presented on that day. This event can probably occur in early December. The website will carry a link to the electronic copy of the coupon, and it will be advertised via the e-mail contact list. Kevin needed the Music Boosters' Tax Exempt ID number. Susan supplied it.
Car Wash locations are still being researched. One band member has a contact at the Chevron on the corner of Governor Drive and Genesee Ave. Becky Walsh had told Susan that her church in PB was available. The concern is that it is out of the school neighborhood, but Kathy mentioned that it could be advertised in the "Beach and Bay Press."
License plate frames are still available to sell. Gay suggested that they be sold at basketball games if permission is granted. Mr. Cummins thought that would be possible.
A raffle of a piece of jewelry or other valuable item was suggested if a donor could be found. Another group had raffled a pair of earrings and did quite well.
Band parent polo shirt or sweatshirt might be a desirable item. Shirts will always be sold to the students at cost, but a small profit could be made on the parent shirts. Sheri or Gay has a contact for high quality shirts at $6.50 each.
Thursday Football Game:
Football game at La Jolla High School on Thursday 11/10/05 is considered a home game (UC vs Clairemont.) The band will perform if weather permits. Call time is at 5:30. Students are to wear Class B uniforms. The game begins at seven. NOTE: AS OF 11/10/05 A.M., THE PERFORMANCE HAS BEEN CANCELLED DUE TO INCLEMENT WEATHER.
Holiday Concert vs. Holiday Parade:
A Holiday Concert will be held on 12/15/05 instead of the Marching Band participating in the Holiday Parade. The required banner for the parade cannot be located, and the band needs additional time to prepare for the Temecula Field Show instead of learning a new routine for the parade. The concert's admission fee will be $3 for adults, $2 students.
Temecula Field Show
Load time: 9:30, Call time: 10:00, Leave: 10:30, Arrive: 11:30, Warm-up: 1:00, Performance: 1:30, Awards: 3:00.
Recap of scores from the prior field shows:
| Music | General Effect | Visual Performance | Combined | Color Guard |
| 179 | 138 | 98 | 41.2 | 38.1 |
| 192 | 166 | 86 | 44.45 | 26.85 |
| 265 | 171 | 74 | 51.0 | 34.5 |
In general, the scores have improved. The team is doing a wonderful job and deserves a big congratulations, especially in the marked improvement in the music scores.
Uniforms
Mr. Cummins discussed the ongoing efforts to obtain new uniforms. He has a meeting on 11/9/05 to discuss the prototype. The new uniform will be more versatile. The district is considering a program which maintains a uniform fund that is donated to schools on a rotational basis. Other school districts are doing this.
ASB has pledged $15K to the purchase of new uniforms. If the district fund does not become available, Mr. Smith will find other sources of funding. The community promotions, such as the Taste of the Triangle that subgroups of the band (Jazz Band, for example) are participating in, should help.
