Music Boosters Board Meeting Minutes

In Attendance:

Minutes from June 13, 2006 accepted.

Christoph opened the meeting at 6:40pm. He began by announcing two changes to the meeting format: 1) Address the most important agenda items first and 2) Wrap-up (summarize) each topic and then either decide on an action item(s) or table the idea.

Upcoming Performances and Events:

Fall Program: Mr. Cummins went over the events in the fall program.

    There are three home football game performances scheduled:

  • October 6, 2006 at San Diego High School vs. Scripps Ranch, game starts at 7:00pm
  • October 13, 2006 at La Jolla High School vs. Madison, game starts at 7:00pm
  • October 20, 2006 Homecoming at UCHS vs. Kearney High School, game starts at 7:00pm

Volunteers to help at the football games should arrive at the game location by 6:30pm. Hopefully the new uniforms will be here by then. Otherwise, students should wear Class B uniforms. UCHS will pay for the buses and food for the students. Students will stay at school, eat, change into uniforms, load equipment into truck and buses, leave UCHS at 5:15, and arrive at the game location at 6:30.

    There are four field shows this fall.

  • October 14, 2006 at Poway High School
  • October 21, 2006 at Scripps Ranch High School
  • November 4, 2006 at Mira Mesa High School
  • November 18, 2006 Temecula High School

The field shows are judged by SCSBOA professional judges. Our UCHS band is a class 2A Band. The Poway and Temecula field shows will feature Class 2A Band performances in the morning with awards in the afternoons. The Scripps Ranch field show will be an afternoon performance with evening awards. The Mira Mesa field show will be an evening show with evening awards.

We discussed the logistics for the October 6th performance. Mary Ann and Rob Klima and Kathy Cranford will be the volunteers. Arrive at San Diego High School at 6:30pm. We discussed the details for volunteer help such as passing out water for the students and helping get the equipment on and off the field. Karin Walin is chair of the food committee. She now has a list of volunteers and is getting organized for this first performance. She will ask the students what they would like to eat that afternoon before they go to the game. We still need a truck driver for the fall season to transport equipment to and from the performance sites.

There are approximately 60 students in Marching Band this year.

Fundraising:

Kevin and Gaye Lilley are the chairs of the Fundraising Committee. Isabella Weizman volunteered to help on this committee. It was previously suggested that the students sell See’s candy bars on campus, but due to a new school district regulation, candy sales are no longer allowed on campus.

The idea of Junior Music Boosters was discussed. Students would have meetings and decide what fundraisers they could do on their own.

Finances:

The projected budget for 06-07 was discussed (see handout). The 06-07 budget was approved.

Jan Frost, our new treasurer, has already started receiving fair share donations.

Mary Ann Klima offered to draft an e-mail regarding e-script. When you sign up, you can specify where you want the money to go = UCHS Music Boosters.

One member suggested an “opt out” option for fundraising. This idea involves making a blanket donation (of your choice) instead of participating in the organized fundraisers, and this donation would fulfill their obligation. One benefit of this option would be that the Music Boosters would receive 100% of the donation. This idea appealed to some members who said they would like to contribute 100% of their funds to the Boosters rather than buy some products that they may not need or use. Malou volunteered to draft an e-mail to inform parents about this idea.

Photography Fundraiser:

Nilantha Sirisoma will take portrait pictures of the students. It was suggested that the end of October or beginning of November would be good. We’ll send home a permission slip included in the picture packet. Nilantha will take individual portraits as well as a group photo.

Other Business:

Uniform Alterations: Cindy Au’s mom has an alteration shop in Poway and may be interested in helping with uniform alterations.

There was some discussion about where parents’ phone numbers and addresses can be distributed. They should only be distributed to board members. E-mails are the appropriate way to distribute information to all the parents.

Cheri Zinser gave us an update on the Jack-in-the-Box fundraiser. The person in charge at Jack-in-the-Box has changed so Cheri has been working to get this fundraiser set up with the new person. She will work with Mr. Marcus to get a total of 120 people to participate. The ages of participants are 18-60. The plan is to first get a date reserved for the fundraiser then we will recruit volunteers.
