Music Boosters Board Meeting Minutes

The meeting began at 6:40 pm.

Announcements:

Vice-president Christoph Weber opened the meeting by announcing some more good news with regards to the last marching band competition; marching band took 1st place, color guard took 2nd place, and drum line placed 3rd within their division.

The minutes from the November 13th meeting were reviewed and accepted.

Financials:

Jan passed out handouts of the latest financial report. It was noted that we increased the food budget for the marching band season. Next Isabela and Jan updated us on the status of our quest for a tax ID number. Currently, the IRS has no record of our tax ID number. Isabela recently attended "coffee with the principal" and explained our situation. She spoke with some members of the Centurion Foundation and was reassured that we are absolutely covered under their tax ID number as an extracurricular club at UCHS. Julia Cooper gave Isabela her e-mail address to follow up, so we were relieved to now have an avenue to follow through with this issue.

Food Committee:

Karin gave us an update from the food committee. She suggested making a contribution from the Music Boosters to Cindy and Angeli to help cover the cost of the pizza. Cindy and Angeli made a commitment at the beginning of marching band season to throw a party for the band and color guard if they placed 1st in their division at any field competition... which they did... twice! It was agreed that the Music Boosters would cover the cost of the pizza for the amount over $100 (approximately $65).

Color Guard:

The color guard parents reported that Anastasia has calculated a total of $1124.15 requested for winter guard supplies. The grant money that Mr. Cummins recently received cannot be used for such supplies. Currently, the color guard has $300. Many of the items requested will be retained and used for several years. There was a motion to add an item to the budget to cover $800 (approx. 2/3 of the total) of the supplies. This motion was passed. Next there was a motion to add an item to the budget to cover winter guard competition fees, approx. $500. This motion was also passed. There is a total of 15 girls that will be participating in winter guard this year!

Rising Star Band:

Mr. Cummins reported on the fundraising benefit concert offered by the Rising Star Band which includes former students of Mr. Cummins. They perform music from the 70’s, 80’s, and 90’s, and they regularly play at Humphrey’s as well as other clubs in San Diego, Las Vegas, Hawaii, etc. They have graciously offered to perform a concert with all proceeds going to the UCHS Music Boosters. We need to form a committee to organize this event, and the following people volunteered: Jeanne, Kathy, Cindy, Angeli, Christina, Karin, Jan, and Pia. We discussed dates and Mr. Cummins made a phone call immediately and confirmed the date of Saturday, March 8th. The performance will be in the auditorium, and it was suggested we sell tickets for $15/person. The band will perform for 1.5 hours straight through. The auditorium holds approximately 300 people which would give us a total of $4500. We also discussed the importance of getting media coverage; radio stations, other schools’ music programs, etc. We will have to check with Lourdes in order to reserve the auditorium for the evening of March 8th. Holiday Concert:

The next item for discussion was the Holiday Concert on Thursday, December 20th. There will be performances by the choir, orchestra, band, and a finale with all three ensembles. As usual, we will have a bake sale, and Isabela will have a raffle for donated items. Pia offered to train Ellen Goetze on setting up the bake sale. Karin said she will bring extra food items from the band competitions to the bake sale.

Fall Marching Band Season:

Mr. Cummins summarized the fall marching band season. This year the band was is the 1A division at the top end so we were competing with smaller bands than last year. There were 2 competitions on holiday weekends. Mr. Cummins apologized for the inconveniences associated with traveling to these shows.

UCHS Field Improvements:

Mr. Cummins informed us about a $3 million deal with the City of San Diego to install field lights and a new field. The project will take place in 3 phases, each costing $1 million: an artificial field, lights, and a track field.

Orchestra:

The orchestra went to Foster Elementary School recently and performed 2 concerts which received great reviews. There was a professional photographer present who took pictures and gave the DVD to Mr. Cummins.

Honor Band and Orchestra:

Auditions for Honor Band and Orchestra are January 15th at Serra High School from 5:00-9:00 pm. Students who want to audition need to sign up online at: www.sandi.net/depts/vapa/music.html#honorband. The rehearsals are at SDSU on Thursday, February 21st (7-9 pm), Friday, February 22nd (9-4 pm), and Saturday, February 23rd (9-4 pm). The concert is Sunday, February 24th at 2:00 pm at Copley Symphony Hall.

Holiday Concert Rehearsal:

On Thursday, December 20th, there will be an all-day dress rehearsal/set-up for all groups for the Holiday concert. Several projects need to be done including placing risers on the stage, decorating the stage, setting up speakers, microphones, etc. Mr. Zinser has graciously volunteered to record the concert. Mr. Cummins will provide pizzas for the students on Thursday, and Karin offered to drive to Costco to pick them up and deliver them.
