Music Boosters Board Meeting Minutes

In Attendance:

Christoph Weber, Pia Weber, Mike Cummins, Malou Rogers, Jeanne Hoey, Mary Ann Klima, Laurette Verbinski, Carolyn Suazo, Karin Walin, Cheri Zinser, Bertha Mya, Jan Frost, Kathy Cranford

The meeting began at 6:40 pm.

Minutes from December 13, 2005 accepted.

Christoph opened the meeting by welcoming new parents of incoming freshmen for the 2007-08 school year. He gave us an overview of the Music Booster organization, and announced that we will need new volunteers to fill positions left by graduating seniors’ parents.

Financials:

Jan Frost presented the financials and passed out a handout listing up-to-date financial activities. Checks for the banquet should be given to Mr. Cummins. There was a request to the IRS for the Boosters’ official tax-exempt number, and apparently we do not currently have one. Jan has done some research and found out about an online course that she can take in order to get a tax-exempt number. The financials were accepted as presented.

New Sheet Music:

Mr. Cummins has ordered some new sheet music for next year and submitted the bills to Jan. The amount was approximately $600 and will provide music to the jazz ensemble, band, and orchestra. Christoph inquired about the cost of the music for next field season, and Mr. Cummins responded that it will be approximately the same as last year.

Upcoming Events:

Mr. Cummins announced the Pops Concert will be held on May 24th. The Color Guard will first perform with short flags, followed by the string orchestra, jazz ensemble, intermission, Zack Zinser, and band. Mr. Zinser has generously offered to record the concert. The concert will be dedicated to Carson Kemp, 1st violin in orchestra and also a member of the youth symphony, who passed away recently. Pia was contacted by a friend of Carson’s mom about placing an ad in the concert program for her dedication.

Grant Proposal:

Recently a government bond was passed for the performing arts; the purpose is to subsidize and develop music programs. It was suggested that we write a grant proposal to subsidize the choir program for one year. This grant would have to be submitted to the district.

Graduation:

Mr. Cummins announced that the band won’t be performing at graduation this year. He has the responsibilities of administering two English finals as well as collecting sheet music and getting instruments in for repair.

The principal and both vice-principals will be retiring at the end of this school year. Mr. Cummins’ schedule for next year, as well as other teachers, have not been organized and announced yet.

Carson Kemp Memorial Fund:

Karin suggested making a donation to the Carson Kemp Memorial Fund. The motion was passed; the donation will be $150.

Disneyland Trip:

The Disneyland trip is scheduled for Saturday, June 9th. The reduced rate for students is $43. There are 47 students signed up so far. We need one chaperone per 10 students. Transportation will be provided by a school bus.

Jan requested that people specify on their checks what event they’re paying for (e.g. Disneyland or banquet) and please write the student’s name on the check.

Year-End Banquet:

The banquet will be held on June 14th at Tom Ham’s Lighthouse. The cost is currently $30 per person and the cost goes up to $35 per person the day after the Pop’s concert, May 30th. 130 people have signed up so far.

Next Meeting:

There will be no Boosters’ meeting in June. A board meeting will be held during the summer to discuss the budget. Mr. Cummins would like to have a full parent meeting at the beginning of school, and he would like to bring in and introduce the new principal.

Volunteer Positions:

Volunteer positions needed for next year’s Music Boosters are: President, E-script, Fundraising Chair, Transportation Chair, and Liaison between Music Boosters and UCHS Boosters. The UCHS Boosters recently merged with the Alumni Foundation, and the new name is the Centurion Foundation. Each of these positions can be handled by two people so that there is less work for each person. New Music Booster member, Carolyn Suazo, volunteered to help in the Fundraising Committee. Thank you Carolyn!

Band Camp:

Band camp will take place as usual during the last week before school begins. On the Friday of band camp, there will be a potluck dinner followed by an orientation by Mr. Cummins and a short performance by the band. People who volunteered to help with the potluck are Pia, Karin, Malou, Carolyn, and Kathy.

Other Business:

Alia will be retiring as Pageantry Captain. Anastasia will be taking over as captain, and Alia offered to help out when she can.

Group picture update: We are still looking for a venue. It was suggested that the pictures be taken after the Pop’s Concert on May 30th. Malou will send an e-mail with an update on what is decided.

The UCHS Boosters merged with the Alumni Foundation, and the new name of the organization is “Centurion Foundation”. Meetings are usually held on Mondays before Music Boosters meetings in Mr. Smith’s office.

We briefly discussed the field improvement project and agreed that it’s important to get the new principal onboard.

Cheri Zinser gave us a summary of the Centurion Foundation and what her role as liaison has involved.
