Music Boosters Board Meeting Minutes

In Attendance:

Mike Cummins, Christoph Weber, Pia Weber, Carolyn Suazo, Karen Walin, Jeanne Hoey, Debbie Norris, Bonnie MacRitchie, Isabela Weizman, Jan Frost, Kathy Cranford

The meeting began at 6:40 pm.

Vice-president Christoph Weber opened the meeting with some organizational items. There is good news and bad news; the good news is we have a strong leadership team in the Music Boosters this year. The bad news is we still do not have a President. Pia and Christoph and well as Mr. Cummins are more than willing to help train a new President.

The minutes from the September 11th meeting were reviewed and accepted.

Financials:

Jan Frost passed out handouts of the latest financial report. 47% of families have paid a portion or all of their fair share donation. Some families have even given more this year for which we are very thankful! Mr. Cummins talked with the new principal, Mr. Price, and the field burning this year was paid for by the school (instead of the Music Boosters who have paid for it previously). It was suggested that we amend the budget to reflect the increased cost of food for festivals/field shows this fall. Last year we did not need to provide food for the students at 2 of the shows, but this year, we will need to provide food at all 3 shows in November. It was proposed to increase the food budget from $300 to $500. The motion was passed. The financials were accepted.

The next topic discussed was how to go about obtaining tax-exempt status for the Music Boosters. Jan has researched this on the Internet and downloaded a 40-page document. Bonnie has also been looking into this and found a website describing the process. It costs approximately $800 to apply for the initial set-up; subsequently there is an annual fee. The question was asked whether we could piggyback onto the Centurion Foundation. They are in the process of applying for their own tax-exempt number. Mr. Cummins prefers that we apply for our own number. It was suggested that we hire someone who knows this process to set it up for us. Carolyn offered to ask her sister, who is a CPA, about this. She also said she would contact the Centurion Foundation and ask if they hired someone and if so, who. Jeanne and Kathy also volunteered to inquire with organizations they are associated with.

Upcoming Events:

Homecoming is October 13th and call time is 10:30 am. Marching band students should wear Class B uniforms and change into Class A uniforms when they get to school. The marching band and color guard will perform at 12:15; then the marching band students will change back into Class B uniforms to wear during the game. There was a request for the band to leave the game early so that girls had sufficient time to get ready for the Homecoming Dance. Mr. Cummins said he would talk with Mr. Price about that.

  • November 3 – Mira Mesa field show. The marching band and color guard have a 9:45 am performance. They will stay for the awards ceremony which begins at 1:30 pm.
  • November 10 – Vista field show. Performance is between 10:00 and 10:30 am.
  • November 17 – Ramona High School field show in Riverside. Performance is at approximately 10:00 am.
  • In past years, we have done the Temecula field show, but this year it was scheduled on October 13th, the date of our Homecoming game.
  • December 13 – Holiday Concert. 7:00 pm. In the auditorium.

The marching band will attend the following football games:

  • October 19 – UCHS vs. Clairemont at Scripps High School. Game time is 7:00 pm.
  • October 26 – UCHS vs. Kearny at home. Game time is 3:00 pm.

There will be an additional practice on Saturday, October 27th from 9-11 am.

Food and Transportation:

Karin gave a report on the food and transportation committees. Nilantha (and Mike?) have volunteered to drive the trucks this year. Karin has been talking with Brandon’s dad about providing Subway sandwiches for one of the field shows.

Special Performance:

Mr. Cummins was contacted by the Poinsettia Bowl who coordinates special events for the Los Angeles Lakers. The drum core has been asked to perform during the pre-game show at the Lakers vs. Utah Jazz benefit game on Thursday, October 25th. The game is at the Sports Arena. Thanks to Greg Zinser for his PR work to make this happen.

Other Business:

Mr. Cummins had some very positive comments to make about the new administration. He anticipates good, new changes in the future for the music program. He said the vice-principals are supportive and knowledgeable, and the school environment is calmer.

The meeting was adjourned at 7:30 pm.
