Music Boosters Board Meeting Minutes

The meeting began at 6:30 pm.
Minutes:
President Carolyn Suazo opened the meeting by asking for a review of the minutes from the last meeting. The minutes were reviewed and passed.
Budget:
Treasurer Jeanne Hoey passed out copies of the latest financial report and budget. The bottom line is that we are spending more than we are taking in. Only 20% of families have contributed their fair share donations. We clarified the amounts of the fair share donations for the different groups (marching band, orchestra, color guard, and concert band). The budget was accepted.
Fair Share Donations:
Mr. Cummins explained what the fair share donations are used for in each of the groups. Carolyn commented that if we don’t get more funds and volunteers for fundraising projects, we won’t be able to compete at festivals, have the Awards Banquet at the end of the year, or have the Disneyland trip for the students. None of the festival expenses are covered by the school and must be provided by fundraising by the parents.
Board Positions:
Equally as important is filling the open positions on the Board by the end of the year. For example, we need a Uniform Manager to oversee the repairs and cleaning of the uniforms. Julie Nguyen volunteered to take the uniforms in for cleaning.
John Hempsey volunteered to be Vice President; thank you John!
Holiday Concert:
We next turned our attention to the Holiday Concert which is Thursday, December 18, at 7 pm in the auditorium. We need flyers and announcements to go out to the school, parents, etc. The flyer should include ticket prices ($3 adults, $2 students) and items for sale so that parents can bring money. Jeanne volunteered to get the announcement included in the UCHS e-mail. We discussed having programs for the concert; however, due to the cost of paper and the lack of time until the concert, we decided it was not a priority at this time. As usual, we appreciate Ellen Goetze and the color guard who will help with the selling of items at the bake sale before the concert and at intermission.
Fund Raising:
Carolyn gave us an update on the sweatshirt fundraiser. We plan to have them in time to sell at the Holiday Concert.
One parent offered a donation of golf equipment for a raffle.
The music program is facing a crisis situation. It’s a possibility that students in marching band, color guard, cheerleading, sports, etc. may not receive P.E. credit starting next fall. Students would have to take P.E. as an additional class.
It was suggested that students get involved and take an active role in fundraising.
It was also suggested that a reminder e-mail be sent out to families who have not yet contributed their fair share donation. The e-mail would include the percentage we have so far as well as a breakdown of expenses (e.g. transportation, festival fees, food, sheet music, etc.) to inform parents what fair share expenses are spent on.
Deb explained the In-N-Out gift card fundraiser. The idea is to pre-sell the gift cards at the concert; we need 5 people to volunteer for the fundraising committee.
Awards Banquet:
We discussed options for the location of the Awards Banquet which will be held at the end of the school year. It has been held at Tom Hamm’s for many years; the cost last year was $35/person and the music boosters subsidized $2/ticket. Like last year, there will be a vote for students and parents to determine the location.
Miscellaneous:
Jeanne announced that Educate will be held on Friday, April 3rd, at the Torrey Pines Hilton.
