Music Boosters Board Meeting Minutes

Mike Cummins, Carolyn Suazo, Jeanne Hoey, Kathy LaBelle, Deb Velez, Maria Raley, Jim Raley, Christina Deckard, Kathy Cranford
The meeting began at 6:35 pm.
Minutes:
Secretary Kathy Cranford passed out copies of the minutes from the last meeting, and they were reviewed and accepted.
Budget:
Treasurer Jeanne Hoey passed out copies of the latest financial report and budget. We have received about $4000 in fair share donations. Only 20% of families have participated so far. It was suggested that a reminder e-mail be sent. The budget was accepted.
Fundraising:
The update on the sweatshirt fundraiser is that only 4 students submitted designs. We discussed the different designs and agreed to keep the text generic, such as "UCHS Music" and keep the design simple. It was suggested that each student sell 5 sweatshirts, at $25 each, and the profit would offset the student’s fair share donation. It was decided the color would be Royal Blue.
We discussed the Jack-in-the-Box taste test fundraiser and agreed that it is very competitive now, and it would be difficult to organize because you can not be guaranteed in advance if you would be accepted to participate or not.
Another suggestion for a fundraiser proposed by Deb was In-and-Out gift cards. They cost $8 to purchase and would sell for $10.
Mr. Cummins suggested the students obtain sponsors from businesses, relatives, etc. Each business has its own fiscal year deadline. The business ad would be printed in the concert program. There would be different levels: $1000 for patrons (a full page ad), $500 for sponsors (1/2 page ad), and $50 for donors (1/4 page ad). The ads would have to be photo-ready for printing. Donors, sponsors, etc. could also print a 2 or 3 line message to a student.
The next fundraising idea discussed was the Rising Star Band concert. They performed last spring in the auditorium and have graciously offered to perform again this year. Some of the band members are former students of Mr. Cummins.
Jeanne suggested the idea of writing a grant for a music scholarship sponsored by radio station 98.1. They award grants up to $5000.
A Jamba Juice fundraiser was also mentioned. It would require sending out a flyer for people to print and bring in to the store, and UCHS Music Boosters would receive 20%.
Mr. Cummins said he could obtain another surfboard (like we had last spring), and it could be auctioned off at the Pop’s Concert this spring.
Another idea for a fundraiser was suggested by Tiffanie and Carolyn. Tiffany has many pictures of the band and color guard, and we could make calendars to display at the Holiday Concert. Tiffanie offered to make a few to display, and we could take orders and have them ready by the New Year.
The idea of sending out letters to students’ relatives requesting donations was brought up. It was commented that legally a release form must first be signed by the parents in order to send out the letters and consequently, parents must send out the letters.
Emergency Parent Meeting:
The next Music Booster meeting, on December 9th, will be an emergency meeting for parents. We desperately need more parents involved in the Music Boosters especially for fundraising projects. It was suggested that a flyer go home to the parents informing them of the meeting and requiring their signature that they have read the flyer.
Field Shows:
Mr. Cummins reviewed the schedules for the Vista Field Show and the Riverside Field Show. A question was asked if the rental truck could be left in front of the school Friday night. Mr. Cummins thought that would be fine.
We approved reimbursing Ed Jackson $40 for gas for delivering the Subway sandwiches to the Vista Field Show.
