Music Boosters Board Meeting Minutes

Submitted by Kathy Cranford, Secretary
Next meeting scheduled for May 12, 2009 at 6:30 pm

Attendees:

Michael Cummins, Carolyn Suazo, John Hempsey, Jeanne Hoey, Deb Velez, Christina Deckard, Kathy Cranford

The meeting began at 6:35 pm.

Copies of the minutes were passed out by Secretary Kathy Cranford. They were reviewed and accepted.

Budget:

Treasurer Jeanne Hoey passed out copies of the current financial report and budget. We discussed listing donations the Music Program has received on our website, as EdUCate does. There could be ifferent categories such as patrons, sponsors, donations, etc. Jeanne is continuing to work on the Target grant. The budget was approved.

Spring Concert:

Mr. Cummins announced that Mr. Fitch will be recording the Spring Concert, since Mr. Zinser is out of town on that date. There will be a sign-up sheet to order CD’s at the concert. The CD will have the Spring and Pop’s Concerts on it and will sell for $15. We discussed other items that will be for sale at the concert including sweatshirts, bake sale, key chains, and license plate frames. We discussed the idea of having an opportunity drawing and agreed it will have to wait until another event (possibly Pop’s Concert) or do it independently from an event. Mr. Cummins is going to print up a program for the Spring Concert and will make copies. It will include special donors. We will also hand out flyers for the Souplantation fundraiser at the concert; President Carolyn Suazo offered to make copies.

Fundraising:

As mentioned above, flyers for the Souplantation fundraiser will be handed out at the Spring Concert. We agreed it is too early to hand out flyers for the Jamba Juice fundraiser so we will e-mail the flyer the week before. It is scheduled for Saturday, May 23rd. It was suggested to do a Jamba Juice fundraiser during Labor Day weekend as well.

Awards Banquet:

Will be held Wednesday, June 3rd. We need to give the final head count to Bali Hai by Friday, May 29th. We decided the money for the tickets will be due on the date of the Pop’s Concert, Thursday, May 28th. We need to form a committee to organize the banquet, take care of the decorations, etc. Mr. Cummins orders all the awards and takes care of transporting them to the banquet. Mr. Cummins will announce the banquet at the Spring Concert and ask for volunteers, and we will have a sign-up sheet in the lobby.

Band Camp:

Will be held August 31st - September 4th. There will be a potluck dinner on Friday, the last day, to welcome new parents and have the students perform a short show demonstrating what they have learned that week.

P.E. Credit:

Mr. Cummins announced that Senate Bill 351 did indeed pass, and Marching Band students will continue to receive P.E. credit.

Pop’s Concert:

We discussed the idea of having a silent auction and everyone agreed it would be a good venue. Mr. Cummins will ask for donated items at the Spring Concert. We should send out an e-mail request as well.

The meeting was adjourned at 7:55pm.
