Music Boosters Board Meeting Minutes

Attendance:

Michael Cummins, Carolyn Suazo, Jeanne Hoey, Kathy LaBelle, Deb Velez, Kazuo Murata, Jisuk Lee, John Hempsey, Mary Rose, Julie Nguyen

The meeting began at 6:30 pm.

Minutes:

President Carolyn Suazo opened the meeting by asking for a review of the minutes from the last meeting. The minutes were reviewed and passed.

Budget:

Treasurer Jeanne Hoey passed out copies of the latest financial report and budget. She is concerned about the coaching costs. In regards to the Fair Share Donations: 4 out of 25 Color Guard have donated; 6 out of 22 Orchestra have donated; and 23 out of 46 Band have donated. We need to find a way to get more Fair Share donations. Mr. Cummins wants a formal letter sent out to parents who have not donated anything. The letter should list the fees that their donations support. He would also like the letter to have a cut-off for parents/students to return. If we don’t get more donations then we can’t go to Festival and there won’t be Winter Guard. Festival (for Band & Orchestra) is in March. It costs $125.00 per group to perform and it would take two buses. Suggestion given was to have the students pay a fee to go to Festival. If students don’t pay... group doesn’t go. Also suggest prorating Anastasia’s coaching fee into the Fair Share donations for Color Guard. The budget was accepted.

Concerts:

Spring Concert will be the first Thursday after Spring Break. The Pops Concert will be sometime in May.

Fundraising:

Per Deb Velez’s discussion with Principal Mike Price, he said we could not do raffles; that the rules have changed. Carolyn is going to set up a time to meet with Mr. Price to how we can support the Music Dept if we can’t do raffles.

We’ve got a golf bag and accessories and a surfboard in our possession. If we can’t do raffles the discussion was how are we going to move these items? A Silent Auction? A thought was submit to Taste of Triangle but that was denied due to the fact that all proceeds will go towards the UC schools. Julie Nguyen offered to sell them at the Craft Fair at the Ed Center. Can also sell the items at the Cultural Arts Fair which is towards the later part of the year. Group will wait and see what Mr. Price has to say.

A car wash was mentioned has a fundraiser. It could be a good idea however it must be well organized and may need insurance at the facility we use.

Julie Nguyen said she could have announcements on our concerts be posted through the school district news line.

Mr. Cummins stressed that we should seriously look into corporate donations. We should research and contact HR & PR departments of major corporations. We need to come up with a letter format requesting donations from corporations.

With the discussion of getting corporations to donate, the topic of getting our own tax id number came up. There was much dialog regarding this. We currently use the tax id number connected to the Centurion Foundation. Julie Nguyen is going to find out who the President and/or Treasurer is of the Foundation.

Uniforms:

It was suggested to have the students pay to have their uniforms cleaned; which should only cost about $6.00 per student. Jeanne Hoey will revise a letter to send home with students to pay.

Mary Rose will do the alterations of the uniforms.

Miscellaneous:

Deb Velez suggested that at our concerts, Mr. Cummins should make the announcements to push the sales of the baked good and misc. items. She thinks there would be more sales if it came from him.

Deb asked about performing at Disneyland but Mr. Cummins said no because you still have to pay to get in and the schedule is hectic.

It was asked if we should have Rising Star perform again but Mr. Cummins is not sure.

Awards Banquet:

Carolyn Suazo suggested a place for our Awards Banquet (should our budget allow). It would be at the Bali Hai. They will only charge us $19.95 per person. If we choose, we could charge families $25.00 per person; much cheaper from last year.

The meeting was adjourned at 8:00 pm.
