Music Boosters Board Meeting Minutes

The meeting began at 6:45 pm.

Attendance:

Mike Cummins, Carolyn Suazo, Vickie Bittle, John Hempsey, Marie Byrd, Jeanne Hoey

President Carolyn Suazo opened the meeting and asked everyone to review the minutes. They were reviewed and passed.

Treasurer’s Report:

Jeanne Hoey passed out copies of the current budget and reviewed the major items. The Spring Concert brought in approximately $670, through admission fees, food sales and the silent auction. Approximately $350 of the silent auction basket money has been received. Total raised from the baskets was approximately $500. Noelle Pilkington will bring the balance of the money, as well as report on how things went. Mr. Cummins had to replace some of the percussion equipment. There were some items that did not get packed up after Festival and were left behind. Club dues totaled $2,148.35. Ending balance is approximately $5780. Jeanne informed the group that more money needs to be raised to ensure coach fees are covered. The projections did not include taxes (work comp insurance, etc.) for the coach fees. As a result, they were short by approximately $200. In order to pay Anastasia’s fees, the balance needs to be picked up by her team. Next year’s Treasurer should factor in the taxes so that Anastasia’s net pay is $1500. The true balance (minus the $1500 coach fees) is approximately $4,200. The budget was reviewed and passed.

Festival:

March 18th, Thursday, 11:00am at Eastlake High. Warm-up at 10:30am. There will be a sight reading component to work out, and we will need to keep this in mind when coordinating with the bus. Students can bring a sack lunch from home, or there will also be opportunity to buy food at the Festival. That day will be an early out day for the students. Mr. Cummins will take care of excusing everyone. Parents are encouraged to attend, however there will not be room on the bus for them, they will need their own transportation. Students will be able to purchase medals. Anticipated departure time is 1:00 pm.

Assembly at Foster Elementary:

April 30th, Allied Gardens. Foster Elementary is paying for the bus. Jazz ensemble and choir will attend. Students will leave the school at 9:00am. First performance is from 9:45-10:30am. Second performance is from 10:45-11:30am. Students will return to school by 5th period.

Jazz Festival:

May 1st, 11:00am at Cuyamaca College. UC will be playing in the Novice Division. Call time is at 10:30am and UC’s performance will end by 11:30am. Mr. Cummins will provide directions to the venue. The Festival is being hosted by Valhalla High School. Mr. Cummins said he would provide the students with a pizza lunch.

Pops Concert:

June 4th at 7:00pm. Fundraising ideas were discussed for the Concert. Jamba Juice was suggested, as well as a California Pizza Kitchen fundraiser. Most liked the idea of having Jamba Juice sell at the Pops Concert. The Music Department will receive 20% of the proceeds. Carolyn will contact Jamba Juice. A silent auction is being planned for the Concert. Mr. Cummins suggested a couple of items to be sold at the silent auction during Pops Concert – a golf bag and surfboard. He mentioned that if he’s able to get the surfboard for the auction, there will be a set opening bid on it.

Some suggestions were made as to how to advertise the silent auction (banners or signs which the students can make and post on the fences, UCHS Email, flyers). It was decided that signs could be made by the students on the next minimum days, April 28th and 29th.

Carolyn is going to contact Bonnie regarding upcoming events to post on the Music Boosters website.

Graduation:

Mr. Cummins is not sure whether the band will be performing at the ceremony. He will have more information about that after STAR testing is over.

Next Year's Committee:

Carolyn announced the positions for next year’s committee. Some positions still need to be filled:

    President: Open
    Treasurer: Kay Cook
    Communications: Marie Byrd
    Webmaster: Open
    Secretary: Marie Byrd
    Food Coordinator: Open
    Uniforms: Vickie Bittle

Mr. Cummins would like to schedule a meeting in June for parents of incoming freshmen. At this meeting, the parents will learn about UC’s music program. The meeting will also allow for a question & answer period. Informational packets need to be prepared soon.

A suggestion was made to create a directory for band members and their families, which would include parent and student email and phone numbers.

A meeting will be scheduled in August to go over next year’s budget and to make plans for band camp.
