Music Boosters Board Meeting Minutes

The meeting began at 6:45 pm.

Attendance:

Mike Cummins, Carolyn Suazo, Jeanne Hoey, Christina Deckard, Noelle Pilkington, Marie Byrd, John Hempsey

President Carolyn Suazo opened the meeting and asked everyone to review the minutes. They were reviewed and passed.

Treasurer’s Report:

Jeanne Hoey passed out copies of the current budget and reviewed the major items. Several expenses have been paid, including the Festival entrance fee, coaching fees for Anastasia Volnova and Noel DeLeon, Fairshare (refund), timpani repair, SCSBOA entrance fee, and Omega Cleaners. Our ending balance is approximately $4,700. Outstanding expenses include the cost of a bus for Festival, color guard uniforms and Banquet awards. The budget was reviewed and passed.

Festival:

March 18th, Thursday, 11:00am at Eastlake High. Warm-up at 10:30am. There will be a sight reading component to work out, and we will need to keep this in mind when coordinating with the bus. Students can bring a sack lunch from home, or there will also be opportunity to buy food at the Festival. That day will be an early out day for the students. Mr. Cummins will take care of excusing everyone. Parents are encouraged to attend, however there will not be room on the bus for them, they will need their own transportation. Students will be able to purchase medals. Anticipated departure time is 1:00 pm.

Spring Concert:

March 25th, Thursday, 7:00 pm in the Auditorium. Noelle and Carolyn are working on basket assignments, themes. Carolyn is preparing the letter to be used to contact some sponsors, will ask them to donate items (Callaway Golf, L’Auberge Del Mar, gift cards, wine tasting, etc.). Noelle is also planning to contact some sponsors (Forbidden Yogurt, Nail Spa, Lorna’s, movie theatre, etc.). Color guards will receive basket assignment and will be asked to collect items, as well as cash donations and gift cards. Band will be divided into 6 sections and each section will be responsible for a basket. Noelle will assign the sections. It was suggested to ask the students to advertise with signs and posters around the school. Other suggestions for advertising included the UCHS Newsletter, UCHS email, distribute flyers, and posting info at Starbucks. Another suggestion was to give each basket a "Buy it Now" price. We also discussed putting the basket description and contents online (UCHS website?). It was discussed to add an incentive for the students by offering a pizza party for the best basket.

Awards Banquet:

June 2nd, Wednesday, at the Bali Hai, 6-10pm, buffet begins at 6:30pm. The cost will be about the same as last year - $19.95 per person, and a $500 deposit is required. There is a 75 person minimum. It was estimated that last year 150 people attended. Carolyn passed around a menu. Everyone agreed to keep last year’s menu. It was suggested to include a dessert table this year, so we will be looking into options such as purchasing desserts from Costco. There was discussion about attire - dressy vs. Hawaiian-style casual, and it was agreed to keep the attire dressy, as last year.

Pops Concert:

June 4th, Friday.

Graduation:

June 18th, Friday.

Before the meeting ended, Mr. Cummins mentioned he needed help transporting a vibraphone from Madison High to UCHS. The vibraphone is needed for the Spring Concert. Two volunteers would be needed sometime after school to help with the delivery. John Hempsey offered to pick up the instrument.

The meeting was adjourned at 7:40 pm.
