Music Boosters Board Meeting Minutes

Submitted by Kathy Cranford, Secretary
Next meeting scheduled for February 9, 2010 at 6:30 pm

The meeting began at 6:35 pm.

Attendance:

Mike Cummins, Carolyn Suazo, Jeanne Hoey, Ellen Goetze, Deb Velez, Christina Deckard, Kazuo Murata, Rosalinda Golden, Edel and Anne Marie Reyes, Nguyet Nguyen, Rizzi Galibut, Angel Perez, Leonida Pascual, Vine Loving, Adriana Perez, Ermila Bermudez, Noemi Reyes, Bill Marsh, Lisa Stofan, Kim Csanadi, Harry Lo, Kay Cook, Annette Ring, Melissa Alcazar, Noelle Pilkington, Kathy Cranford

President Carolyn Suazo opened the meeting and asked everyone to review the minutes. They were reviewed and passed.

Treasurer’s Report:

Jeanne Hoey passed out copies of the current budget and reviewed the major items. The music program has a budget of approximately $18,000 per year. We hope to get additional fair share donations before the end of this school year. So far, we have brought in $7,895.03. We raised about $900 at the Holiday Concert, including admission, bake sale, sweatshirts, gifts, etc. Families have donated $6,971.25 so far in fair share donations. We still have to pay the coaches (Anastasia for color guard and Noel for drumline) at the end of this first semester. Coaching costs about $4,000 for the year. The budget was reviewed and passed.

Honor Band:

Auditions are January 26th, Tuesday. Mr. Cummins has handed out sheet music for students who are interested in auditioning. It is also available online as is the audition schedule.

Spring Concert:

March 25th, Thursday, at 7:00pm. It was agreed by the members present that we will have a silent auction at the Spring Concert. We have a couple of items that were donated last year, a golf bag and lounge chairs. Carolyn volunteered to contact Torrey Pines Golf Course to see if they would donate a round of golf. One member suggested that each section of the band be responsible for donated items based on a particular theme. Suggestions were golf theme, movie theme, bath theme, spa theme, etc. Please contact Carolyn if you have ideas and/or want to help organize this fundraiser. It was suggested to ask Bonnie (our webmaster and communications director) to put out an e-mail blast to announce the concert and silent auction soon.

Awards Banquet:

There was a discussion to decide on the venue, and it was agreed to have it at the Bali Hai as we did last year due to the less expensive price compared to years prior. The cost per person last year was $25. The event will be in early June.

Graduation:

June 18th, Friday.

Color Guard:

The remainder of the meeting was dedicated to Color Guard. Mr. Cummins explained that the district has gone through a lot of changes recently due to legislation. The resulting outcome includes a lack of P.E. credit for Winter Guard. Consequently, there will be no grades or roll call for 2nd semester Winter Guard; however, it will still be offered as a club. Anastasia organized and printed a Constitution which has to be signed by each member in order to be recognized as a club. One requirement of a club is that the coaching and uniform fees must be paid in advance. Currently, there are 19 students in Winter Guard. They are already signed up for the Winter Guard circuit of competitions; now payment has to be made. It is estimated that the cost for each student is $195.70 (based on a total of 16 students).

Transportation for the competitions will be provided by parents, and forms were handed out that need to be filled out and submitted. The paperwork and fees are due by February 1st. Families can make two equal payments if necessary; talk with Anastasia about it. Students have to sign an ethics contract to indicate their commitment to the club. If a student is ill and has to miss a rehearsal, they must notify Anastasia or Mr. Cummins.

The Winter Guard competition schedule is:
March 13-Mira Mesa
March 20-Westview
April 3-Eastlake
April 17-Championships

Anastasia went over the different parts of the costumes; she will be making them herself. The Guard will try to fundraise for equipment costs.

Mr. Cummins reminded all the Guard students that they have to get a physical and turn in the form if you haven’t already done so in the fall. You can call the school office and get the name and phone number of a doctor who does athletic physicals for a reasonable cost if you don’t have insurance.

The meeting was adjourned at 7:40pm.
